Terms of Service
Last updated 22 October 2026
These terms are an agreement between Recora Pty Ltd (“Recora”, “we”) and the business that creates a Recora account (“you”). By creating an account or using Recora you agree to them. If you are signing up for a company or partnership, you confirm you are allowed to bind it.
1. What Recora is
Recora is software that helps you keep the books for a hospitality venue. It connects to your accounting software, point of sale, bank feed and other platforms, reads your bills and sales, suggests how to record them, and posts entries you approve to your ledger. It also prepares information for BAS and other compliance dates and sends you notifications you choose.
Recora is a tool, not an accountant, bookkeeper, tax agent or financial adviser. It does not give tax, legal or financial advice, and nothing it shows you is advice. You remain responsible for your business records, your tax lodgements and payments, and the decisions you make. We recommend you keep a registered tax or BAS agent.
2. Artificial intelligence and accuracy
Recora uses artificial intelligence to read documents and suggest coding and matches. It will sometimes be wrong. Recora shows you its reasoning and asks for your decision on anything it is not confident about, and you can undo its entries. You are responsible for reviewing what Recora does and for correcting anything wrong before you rely on it. We do not guarantee that Recora’s output is complete or accurate.
3. Your account
Keep your sign-in method secure and tell us at once if you think someone else has used your account. You are responsible for the people you invite and the access levels you give them. You must give us accurate information and keep it current. You must be at least 18 and use Recora for a business.
4. Your data and connections
You own your data. You give us permission to use it to provide the service as described in our Privacy Policy. When you connect a third-party platform, you confirm you are allowed to give us access to it, and you agree to that platform’s own terms. Recora writes to your accounting software only the entries you approve or that you have set it to post automatically. We are not responsible for the third-party platforms, their availability or the data they give us.
5. Free trial, plans and payment
New accounts get a free trial of 14 days on the plan you choose, with no card required. At the end of the trial your account continues only if you add a payment method; otherwise it pauses and your data is kept as the Privacy Policy describes. You can choose to start paying straight away instead of a trial.
Plans are billed monthly in advance in Australian dollars, plus GST, through our payment provider Stripe. Prices are shown in the app and may change with at least 30 days’ notice by email; a change applies from your next billing period after the notice. Extra venues are billed as shown on the plan page. If a payment fails we will tell you and retry; if it is still unpaid after 14 days we may suspend the account until it is paid.
You can cancel at any time from Settings, Billing. Cancellation takes effect at the end of the current billing period and you keep access until then. We do not give refunds for part of a period, except where the Australian Consumer Law requires it or we choose to.
6. Changing or ending the service
We may change features, add or retire integrations, and improve Recora over time. If we withdraw something material you rely on, we will give you reasonable notice. We may suspend or end your account if you break these terms, do not pay, or use Recora in a way that harms others or the service. You can close your account at any time from Settings; see the Privacy Policy for what happens to your data.
7. Acceptable use
Do not use Recora to break the law, to process data you are not entitled to, to try to access other customers’ data, to interfere with the service, or to resell it. Do not attempt to copy or reverse engineer the software.
8. Our responsibility to you
Nothing in these terms excludes the guarantees you have under the Australian Consumer Law. Where we are allowed to limit our liability, our total liability to you for anything arising out of Recora in any 12-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss, lost profits, penalties or interest charged by a tax authority, or loss caused by inaccurate data from you or a connected platform. Where the law lets us limit liability for a service guarantee to resupplying the service or paying for it to be resupplied, we do.
9. Availability and support
We aim to keep Recora available at all times but do not promise uninterrupted service. We may take it down briefly for maintenance, normally outside Australian trading hours. Support is by email at support@recorabooks.com.au, on business days, Sydney time.
10. Intellectual property
Recora and everything in it other than your data belongs to us or our licensors. You get a non-exclusive right to use it while your account is open. You can give us feedback and we may use it without obligation.
11. Privacy
Our Privacy Policy is part of these terms.
12. General
These terms are governed by the law of New South Wales, Australia, and disputes go to the courts there. If part of these terms cannot be enforced the rest still applies. We may update these terms; we will email account owners at least 14 days before a material change takes effect, and continued use after that is acceptance. You cannot transfer your account without our agreement; we may transfer this agreement as part of a sale of the business with notice to you.
